What You'll Do

We're looking for a hands-on Business Operations Coordinator to join our core team during a critical growth phase. This is a hybrid role combining business development, operational support and execution, perfect for someone who thrives in fast-paced, early-stage environments.

 

This is a full-time position based in Viseu, Portugal, with flexible hybrid work options.

Key Responsibilities

  • Lead operational compliance: oversee the administrative processes tied to state incentives, maintain close coordination with the accounting team and help prepare financial and progress reports for stakeholders

  • Handle admin & operations: manage invoicing, help set up payroll and expense tracking, support accounting tasks and manage equipment procurement, from identifying suppliers to handling purchases and logistics

  • Research funding opportunities: track national and European calls, liaise with consultants, assist with applications

  • Support client development and pilots: help prepare demo materials, coordinate meetings and follow up with prospects

  • Support talent pipeline & hiring: help source candidates, coordinate interviews, manage recruiting logistics and nurture relationships with academic and professional communities to attract top technical talent.

  • Pilot & project coordination: organize timelines, logistics and reporting with clients and internal stakeholders

  • Build and manage academic partnerships: coordinate collaboration opportunities, organize visits and maintain strong relationships with researchers and faculty.

  • Be the founders’ right hand: take ownership of tasks that unblock founders and help the company move faster

What We’re Looking For

  • 2–5 years experience in startups, consulting or project management related roles

  • Excellent organization, writing and execution skills

  • Comfortable with ambiguity and wearing multiple hats

  • Experience engaging with universities, research groups or technical communities is a plus

  • Comfortable supporting hiring processes and interacting with candidates, partners and academic stakeholders

  • Interest in robotics, AI or future-of-work tech is a big plus

  • Fluent in Portuguese and English
